Educational Visits

Separate parental consent is not normally required for off-site activities that take place during the school day and form part of the normal curriculum. These may include:

▪ Local walks and community visits

▪ Visits to a library, museum or place of worship

▪ Swimming lessons and local sporting activities offsite

▪ Other curriculum activities in the local area

Parents and carers are asked to acknowledge these arrangements when their child enrols at West Park. We will aim to tell you about each visit through the Arbor Parent App, by email or through an in-app message.

Consent given when a child enrols may also cover local educational visits that take place beyond the normal school day or do not form part of the usual curriculum. We will still provide information about the nature and arrangements of the visit before it takes place.

We will request a separate consent form for visits involving a higher level of risk or more detailed arrangements. This includes:

▪  Residential visits

▪  Adventurous activities

▪  Visits involving longer journeys or travel further afield

▪  Visits for which additional medical or welfare information is required

Consent may be collected electronically or using a paper form. Before asking for consent, we will provide information about the itinerary, planned activities, travel arrangements, supervision and any specific requirements.

Please select the appropriate link below. The enrolment form provides consent for routine and eligible local visits. A separate individual form is required when requested for a specific visit.

The school will normally use the medical, welfare and emergency contact information held on its management system Arbor. Parents and carers are responsible for informing the school promptly about changes to:

▪  Medical conditions, allergies or medication

▪  Dietary, welfare or behavioural needs

▪  Additional support needs

▪  Home addresses and emergency contact details

For residential, adventurous, higher-risk or extended visits, you may be asked to complete an additional medical information form so that the visit leadership team has the most up-to-date information available.

Visit leaders will only carry information that is necessary to support pupils and respond appropriately in an emergency. For a routine local visit, this may simply be a pupil register. For visits further afield or beyond the school day, staff may also carry relevant medical, welfare and parent or carer contact details.

Information may be held securely on paper or electronically and will only be available to members of the visit leadership team who need it. Where necessary to protect and care for a pupil, relevant information may be shared with medical professionals or an external provider delivering an activity.

We will aim to provide clear and timely information about educational visits. Occasionally, a local curriculum opportunity may become available at short notice. Where this happens, we will make every reasonable effort to notify parents and carers before pupils leave the school site.

▪  Complete the Consent on Enrolment Form when your child joins West Park.

▪  Read the information sent for each visit and contact school promptly with any questions.

▪  Complete an Individual Visit Consent and Medical Information Form whenever one is requested.

▪  Keep the school informed of any changes to medical, welfare or emergency contact information.

▪  Do not send your child with a mobile phone, smartwatch, AirTag or other tracking device unless the school has given explicit permission.
